Animal View Safaris – Booking Terms and Conditions

Welcome to Animal View Safaris, a premier tour and travel company operating in Uganda and East Africa. Our Booking Terms and Conditions are designed to ensure that our clients receive the highest quality services while balancing the interests of both our clients and the company. We advise all clients to read these terms carefully. They may be updated periodically to reflect changing circumstances.

1. Cancellations by Animal View Safaris

Although it is rare for Animal View Safaris to cancel confirmed bookings, we reserve the right to do so in exceptional circumstances.

  • Your confirmed holiday will not be canceled less than one month before departure, except if you fail to make the required payments on time or if unforeseen circumstances beyond our control arise.

  • If we cancel your holiday (excluding payment default or force majeure), we will offer an alternative holiday of similar standard if available. Any difference in price will be refunded or charged accordingly.

  • You may alternatively opt for a full refund of all payments, except for gorilla or chimpanzee permits, which are only refundable if the authorities allow.

  • We are not liable for any additional expenses or losses incurred due to cancellations.

We reserve the right to terminate the holiday of any person whose behavior poses danger, annoyance, distress to others, or damage to property. In such cases, no refund will be given.

2. Client Cancellations

Depositing money confirms your intention to participate in your planned holiday. If you need to cancel, please notify us in writing.

  • Gorilla or chimpanzee permit fees will be refunded if permits can be resold.

  • Unused deposits for accommodation or logistics will be fully refunded.

  • We do not retain funds for services that have not been used.

3. Transfer of Booking

In exceptional cases, bookings may be transferred to another party provided all service providers (airlines, hotels, lodges) accept the change. Any associated costs will be communicated. Gorilla permits are non-transferable.

4. Complaints

Complaints should be reported immediately to our representatives or service providers. If unresolved, please contact our Safari Manager in Kampala to enable a thorough investigation.

5. Force Majeure

Animal View Safaris is not liable for delays, cancellations, or losses caused by circumstances beyond our control, including but not limited to: war, riots, natural disasters, government actions, technical failures, road closures, or disease outbreaks.

6. Pricing and Rate Changes

  • Prices may be revised prior to booking to reflect changes in foreign exchange, tariffs, or supplier costs.

  • Once confirmed, surcharges may apply if costs rise by more than 2% of the holiday price (excluding insurance). If a surcharge exceeds 10%, clients may cancel with a full refund (excluding insurance premiums and permit fees).

  • We reserve the right to correct pricing errors and modify itineraries if necessary.

7. Gorilla Permits

  • Gorilla permits are purchased only after payment is received.

  • Permit acquisition does not guarantee gorilla sightings. Circumstances such as park closures, security concerns, or gorilla relocation may prevent tracking.

  • Refunds are dependent on the relevant authority’s discretion; we will assist in obtaining them where possible.

8. Insurance

All clients must hold comprehensive travel insurance covering:

  • Death, personal injury, medical expenses, evacuation, and repatriation

  • Cancellation or curtailment of the holiday

  • Loss, damage, or theft of personal property

  • Activities including trekking, balloon tours, white-water rafting, gorilla and chimpanzee tracking, canoeing, and boat rides

Participation in these activities is at your own risk.

9. Medical Requirements

  • Excellent physical and mental health is essential for tour participation.

  • Clients must notify us of any medical condition or special dietary needs in advance.

  • We accept no liability for medical care or dietary requirements not disclosed prior to travel.

  • Children under 12 cannot track chimpanzees; children under 15 cannot trek gorillas.

10. Jurisdiction

Animal View Safaris is incorporated in Uganda, and all contracts are governed by Ugandan law.

11. Liability

  • We strive to provide all services to a reasonable standard.

  • Liability is limited to the holiday cost for services not delivered as advertised.

  • Maximum compensation for loss or damage to personal possessions is US$30, assuming adequate insurance coverage.

  • We accept responsibility for death, personal injury, or illness caused by failure of services under our control, except due to unforeseeable third-party actions or force majeure events.

12. Safari Terms

Prices include:

  • Airport transfers, accommodation, meals as specified

  • Safari vehicle and driver/guide

  • Porterage for two items of baggage per person

  • Park fees, gorilla and chimpanzee permits (where applicable)

Prices exclude:

  • Airfares, visas, airport taxes, gratuities, and personal expenses

Luxury lodges may include additional services such as drinks, laundry, and massage. Alternative arrangements will be made if unforeseen circumstances affect your safari itinerary.

13. Transportation

  • Vehicles are maintained in roadworthy condition, but breakdowns or delays are not the company’s liability.

  • Company vehicles must only be driven by authorized guides. Clients are responsible for any damage caused by unauthorized interference.

14. Confirmation and Acceptance

By paying a deposit, you confirm that you have read and understood these Terms and Conditions, including policies on cancellations, refunds, liability, and responsibilities.
